Participant Accessibility, Terms of Conduct & Anti-Harassment Policies

This retreat is intended to be a space of rejuvenation, learning, and mutual respect. All participants agree to the following policies upon registration. This document sets expectations for safety, conduct, and community care throughout the retreat.

1. Community Conduct & Inclusivity
• Respect & Belonging: This retreat welcomes adults of all body types, identities, and orientations. All participants & staff are expected to treat one another—and retreat/inn staff—with kindness and respect.
• Professional Boundaries: Relationships between teacher and trainee/participant remain in their respected roles, thus deterring any type of dual-relationship situation. This includes emotional, physical, and spiritual boundaries, and applies equally among participants.
• Appropriate Attire: Please wear clothing suitable for yoga, walking, and shared meals. Attire should allow for free movement and maintain appropriate coverage in community spaces. Hygiene standards need adhered regardless of how relaxing your stay becomes.
• Substances & Behavior: To support the integrity of the retreat, refrain from excessive alcohol use, especially before sessions or shared activities. This is a wellness-focused environment, not a party atmosphere.
• No Tolerance for Harm: Discrimination, harassment, sexual misconduct, or bullying will not be tolerated. Participants are expected to create a space free from physical, emotional, or psychological harm. Harassment and sexual harassment shows in language, behavior, and body language. Derisive & equivocal language will not be tolerated, behaviors, that distract others from their individual and unique experience are frowned upon, unwanted advances, flirting, romantic or sexual attention is not okay and will not be tolerated. In some cases, a warning discussion will happen because intent does not always equal action therefore communications to prevent a misunderstanding or further define appropriate behavior will happen between involved person(s) and retreat leader with Emerging Lotus LLC.

2. Safety Guidelines
• Water Safety:
• Do not swim or go on the water alone.
• Swimming is not permitted before dawn or after dusk.
• No glass containers near the water.
• Alcohol and swimming do not mix—this is strongly discouraged.
• All water activities are at your own risk.
• Illness & Injury:
• If you are unwell or injured, you are expected to rest and take care not to expose others to illness.
• Communicate any urgent needs to inn staff as soon as possible.
• Emergencies:
• In the event of an emergency, participants must contact the Oak Tree Inn staff directly. You are a guest of the inn, and they are equipped to handle guest support.
• The retreat leader’s role is to facilitate sessions and maintain the learning space—not to manage emergencies or room-related matters.

3. Participation & Attendance
• Teacher Training Students:
• You are expected to participate in all required sessions to receive certification.
• Up to 3 hours of online make-up content will be offered for excused absences. Please communicate in advance when possible.
• Retreat Guests:
• Attendance at yoga, meals, and group activities is optional but encouraged to help you receive the full benefit of the retreat.

4. Accessibility & Comfort
• Physical & Emotional Accessibility:
• If you need assistance with anything—from physical comfort to emotional space—please communicate clearly. You are encouraged to do what you need to feel safe and at ease.
• Retreat Etiquette:
• Help keep shared spaces clean and pleasant. Leave spaces better than you found them.
• Dietary needs are honored when provided in advance.
• Cultural Sensitivity:
• We may host a blend of local and international guests. Please act with cultural respect and mindfulness in social settings.

5. Photography & Privacy
• Photography Agreement:
• On the first full day, we’ll discuss as a group what photography will look like. This is a retreat for sensory refinement, not content capture.
• “Silent Sunday” is designated as a no-photo day.
• No one is to be photographed without their consent.
• Do not include innocent bystanders (such as unrelated guests or staff) in your photos.

6. Payment Terms, Responsibility & Legal Boundaries
• Non-Refundable Deposit:
• All deposits are non-refundable. This secures your space and is applied toward your total.
• Balance Deadline:
• Your full balance is due by September 2. Failure to pay will result in forfeiture of both your deposit and reservation.
• Travel Insurance:
• You are strongly advised to purchase travel insurance for both financial and medical protection.
• Liability & Roles:
• You participate in this retreat at your own risk. By registering, you acknowledge that Emerging Lotus LLC is not liable for injuries, travel disruptions, or property issues.
• The Oak Tree Inn is responsible for guest room issues, property emergencies, and onsite support. Please direct all such needs to their staff.
• The retreat leader is here to teach and hold space—not to manage logistics or guest services.
• Use of Personal Information:
• Your registration details will be used only for retreat communication and logistics. Data will be handled responsibly and never sold or shared.
• Emerging Lotus LLC is held harmless of any travel-related disruptions to a person’s finances or life. Travel is at your own risk; a valid travel insurance claim with a valid travel insurance policy is the only way to protect financial investment in trips. Guests and participants are required to handle this themselves.

7. Scope of Authority & Liability
• Though unthinkable, stating that Emerging Lotus LLC retreat leadership and the hospitality management have the right to ask a person(s) to remove themselves from the property and secede the retreat for any reason. A refund will not be offered. If the need arises, law enforcement will be contacted without hesitation. Everyone’s safety is of paramount importance.
• Emerging Lotus LLC and it's leadership and contractors will be held harmless. A participant's selection to participate and enroll deems themself fully responsible for their decision, its consequences, and expectations. Emerging Lotus LLC nor contractors make promises regarding wellness, offer medical advice, or substitute for medical care and guidance.
By attending this retreat, you agree to honor the collective space, support your own well-being, and respect the integrity of the experience. Thank you for helping create a safe, inclusive, and nourishing community.
Upon confirmation of your registration, you will receive a signature request stating you agree to abide by the terms stated above and agree to any changes to the Terms & Conditions. We look forward to sending you detailed information to support your preparation for travel.
